How to Scan Documents with Your Phone and Save Them as One PDF

By the Toolsona team · Updated

To turn paper documents into one PDF with your phone, photograph each page flat and from directly above in good light, crop each photo to the edges of the paper, then add all the photos to a JPG to PDF converter, put them in order and download a single PDF. If the PDF is too large, resize the photos to 100–200 KB each first.

What you need

  • A phone with a camera
  • The paper documents, flat and unfolded
  • A table or floor with a plain surface, preferably darker than the paper

Step 1: Photograph each page so it stays readable

  1. Light: work near a window in daylight. Avoid the flash; it often leaves a bright glare spot that hides text.
  2. Surface: put the page on a darker surface so its edges are easy to see and crop.
  3. Angle: hold the phone directly above the page, parallel to it. Photos taken at an angle make the page look like a trapezium and the far side blurry.
  4. Shadow: make sure your phone and hand do not cast a shadow across the page.
  5. Focus: tap the text on the screen before taking the photo, then zoom into the result to check it is sharp.

Built-in scanners (optional)

If you want automatic straightening and edge detection, both major phone systems include a scanner:

  • iPhone: in the Notes app, create a note, tap the camera icon and choose Scan Documents.
  • Android: in the Google Drive app, tap + (New) and choose Scan.

These save their own PDF. If you prefer separate photos you can reorder, simply use the camera as in step 1.

Step 2: Crop and check every photo

Open each photo in your gallery's editor, crop to the edges of the paper and straighten it if needed. Then zoom in on the smallest text: if you cannot read it on the phone, the person receiving the PDF will not be able to either, so retake that photo.

Step 3: Combine the photos into one PDF

  1. Open the JPG to PDF converter and add all the page photos at once.
  2. Use the ↑ and ↓ buttons to put the pages in order.
  3. Choose A4 (most countries, including Pakistan and India) or US Letter (USA and Canada), and a small margin.
  4. Press Create PDF. The file downloads to your phone, usually into the Downloads or Files app.

Step 4: Keep the file size small

Every phone photo is 2–5 MB, so a ten-page PDF can easily exceed 20 MB, which is too large for many email and upload forms. To keep it small, resize each photo before converting:

Size per pageGood forApprox. 5-page PDF
100 KBID copies, simple formsabout 0.5 MB
200 KBcertificates, marksheets, small printabout 1 MB
Original (2–5 MB)printing at full quality10–25 MB

Use the 100 KB or 200 KB resizer for each page, then create the PDF from the resized photos.

Name the file clearly

Rename the PDF before sending, for example Ali-Khan-Matric-Certificate.pdf rather than images.pdf. Offices handling many applications appreciate it, and you will find the file again more easily.

Frequently asked questions

Do I need a scanner app?

No. A normal phone camera works if you photograph the page flat and in good light. The iPhone Notes app and the Google Drive app on Android also have built-in document scanners that straighten pages automatically.

How do I put the pages in the right order?

In our JPG to PDF converter, use the up and down arrows next to each image before creating the PDF. The first image becomes page 1.

The PDF is too big to upload. What can I do?

Resize each photo to 100–200 KB with the Image Resizer before converting, then create the PDF again. A five-page PDF made from 150 KB pages is under 1 MB.

Is it safe to convert ID cards and bank documents online?

With our tools the photos are converted inside your browser and are never uploaded, so the documents stay on your phone. Still, delete copies you no longer need from your gallery.

Can I add pages to an existing PDF?

Yes. Make a PDF of the new pages, then join it with the existing file using the Merge PDF tool.
